MonduCard

If your MonduCard is lost or stolen, freeze it right away. If you find your card, you can unfreeze it anytime. Otherwise, issue a new card – ensuring that your card details cannot be abused.

You have two ways to freeze your MonduCard:

  1. Freeze via the Mondu Buyer Portal
    • Log in to the Mondu Buyer Portal with your account email and the verification code sent to your inbox.
    • Open the MonduCard tab. On the screen where you are asked to confirm access in the Mondu app, select “I’m having trouble”, then select “I want to freeze my card”.
    • Alternatively you can also freeze the card by using the “Freeze” action in the MonduCard tab.
  2. Freeze by phone
    • Call our card emergency line in English: +441722444821.
    • Have the number of your MonduCard ready so we can identify your card and freeze it immediately.

After freezing

  • If the card is stolen or permanently lost, block the card and order a replacement: use the “Block card” action from the Card tab of the Mondu Buyer Portal.
  • If you find your card, you can easily unfreeze it via the Mondu Buyer Portal.
  • If you notice suspicious transactions, you can report an issue on the transaction itself.

You can regain access securely without your old device. The steps depend on whether you still have your activation letter:

  1. If you still have your activation letter received during onboarding for MonduCard, follow the instructions from How do I set up the Mondu app on my mobile device.
  2. If you lost your activation letter, you would need to first receive a new activation letter – follow the instructions from I lost my activation letter – what should I do? .

Get the Mondu app ready in a few secure steps so you can approve online payments and manage your MonduCard with confidence.

  1. Download our app
    • Download the Mondu app from the Apple App Store or Google Play Store.
  2. Log in with your Mondu account
    • Sign into the app using the same email address you use for the Mondu Buyer Portal.
    • Please note: you can only use the app with an existing Mondu Buyer Portal account and the MonduCard activation letter for your initial login.
  3. Link your device
    • After logging in, scan the QR code from your activation letter to link your device.
    • Please note: if scanning doesn’t work, you can enter the linking code from the activation letter manually.
  4. Confirm with your security PIN
    • Enter the security PIN you set during onboarding to complete the setup.
  5. Complete the setup: enable biometrics and notifications (recommended)
    • Turn on Face ID/Touch ID or your device’s biometrics to speed up future logins and approvals. If you prefer not to use biometrics, you will be asked to confirm with your security PIN.
    • Enable push notifications to receive real-time prompts for approvals.

That’s it – the Mondu app is ready for use! You can now head to the MonduCard tab in the Mondu Buyer Portal to see your card details, monitor your transactions and remaining purchasing power. For added security, you will be prompted in the Mondu app to confirm online payments, so you’re always in control of your business spending.

No worries – you can easily get back on track – the steps depend on whether you have access to a device with the Mondu app setup.

If you have access to Mondu app:

  1. Log in to the Mondu Buyer Portal and navigate to the MonduCard tab
  2. Open the MonduCard tab and select Settings.
  3. Select the “Lost your device activation letter” option and follow the prompts – a new letter will be sent to your confirmed address.

If you do not have access to Mondu app:

  1. Log in to the Mondu Buyer Portal and navigate to the MonduCard tab
  2. Open the MonduCard tab. On the access confirmation screen, select “I’m having trouble”, then select “I want to link a device”.
  3. Complete the Identity verification process and a new letter will be sent to your confirmed address.

All MonduCard management happens in the Mondu Buyer Portal. That’s where you’ll see transactions and statements, view your card details and balance, freeze/block your card and order a replacement or a new activation letter, should that be needed.

How to access MonduCard in the Buyer Portal

  • Sign in to the Mondu Buyer Portal using the email you used during MonduCard onboarding. You’ll confirm login with a verification code sent to that email.
  • Make sure the Mondu app is installed and set up on your mobile device. This is required to approve access to the MonduCard tab. If you have not already done so, follow the steps described in How do I set up the Mondu app on my mobile device?.
  • In the Mondu Buyer Portal, select the MonduCard tab. When prompted, approve access from the Mondu app on your device.

Once you’re in, you can:

  • View card details, recent transactions, your current balance and monthly statements.
  • Open Card Settings to:
    • Freeze or block your card
    • Replace your card
    • Request a new activation letter (useful if you lost the original and need to link a new device or reset your security PIN)
    • Change your card PIN (for physical cards)

Invoice & Payment

Invoice payment

As soon as we receive your invoice from the merchant, we will send you an email with further information about the payment process.

Please note that the payment is made to Mondu (not to the merchant). We ask you to make sure that the transfer is made to the IBAN number provided in the invoices and emails, and that you include the reference number.

SEPA direct debit

As soon as we have received your invoice from the merchant, we will send you an email with the date for payment collection via SEPA. We will inform you seven days before the collection date about the upcoming payment.

We ask you to make sure that the deposited account is sufficiently covered. In case of a rejection, we will send you an email and ask you to transfer the invoice amount. Once there is a rejection, we won´t direct debit the amount the second time.

SEPA Direct Debit – Installment invoice

As soon as we have received your invoice from the merchant, we will send you further information about the installment plan and the payment procedure. We will inform you seven days before the collection date about the upcoming payment for the installment rate.

We ask you to make sure that the deposited account is sufficiently covered. In case of a rejection, we will email you and ask you to transfer the installment rate, as the rejected installment won’t be direct debited again.

In case of a second rejection, we will cancel the SEPA direct debit and the entire amount will be due to pay.

Yes, of course. You can pay the invoice at any time within the payment deadline. You will receive confirmation as soon as the payment is received (for a bank transfer, this usually takes 1 to 3 working days).

If you selected SEPA Direct Debit as your payment method, the payment collection date is fixed and cannot be changed.

Don’t worry! We will transfer the difference to your bank account and inform you as soon as we’ve made the transfer. If you don’t receive the difference within two weeks, please contact our support team via a support-ticket. We will be happy to assist you.

We will keep you informed about your payment status. To avoid reminder fees, please transfer the outstanding payment as soon as possible.

In case you have already paid, kindly ignore this email. We will send you a payment confirmation as soon as we have received your payment and processed it in our system. Please note, payments completed through a bank transfer usually take 1 to 3 days.

Please make sure that the recipient, IBAN and reference number for your transaction are correct. If you have not received a payment confirmation email after 3 business days (check your spam folder too), please contact our support team via a support-ticket and we will gladly help you.

The merchant will send you an invoice with the payment details as a PDF once the order has been shipped. In addition, Mondu will also send you an email with all the payment information. If you have any questions, please contact the merchant directly.

Net Terms
Mondu typically offers payment terms of 30, 45, 60 or 90 days, but ultimately it is the merchant that chooses what payment term to offer to you. You will find the payment term on the invoice we sent you via email. Please pay the entire invoice amount before this period expires.

Installment payments
Installment payments are offered over 3, 6 or 12 months via SEPA direct debit. The payments occur monthly for the period you select at the time of purchase.

The terms and installments payments may vary per merchant.

Onboarding & Purchasing Power

Mondu runs thorough credit and fraud checks as part of its onboarding process, which unfortunately resulted in a decline in your case. While we cannot disclose specific details due to privacy considerations, please know that our assessments are comprehensive and carefully conducted. Our decision-making process is guided by strict compliance with regulations and a commitment to ensuring the security and integrity of our services.

Once you have been onboarded, Mondu automatically assigns you a purchasing power (limit) based on the credit check. This individual purchasing power can increase or decrease due to your payment history with Mondu, your general credit history, as well as other reasons.

Rejection & Return

There can be several reasons for declining your order, for example:

  • You may have outstanding invoices with Mondu that exceeded the payment deadline.
  • Your order exceeds your available purchasing power (limit). Please note that once other open invoices are paid, your purchasing power will be restored by that amount.
  • We were unable to identify your company
  • The mandatory credit check was unsuccessful.

If you would like to partially or entirely return an order, you must follow the return conditions of the retailer. Please contact them directly if you have any questions.

If you want to return a product before you’ve made a payment, your invoice will be adjusted accordingly and you will receive an overview of the new payment amount.

Please contact the merchant directly to arrange a refund if you have already paid for a product.

Please get in touch with the merchant directly with any questions regarding deliveries and returns. As the payment method provider, we at Mondu cannot provide information about these processes.

Dunning & Collection

You will receive a reminder from Mondu if you have not paid an invoice by the agreed payment deadline. You can find the payment term on the invoice and the payment information email you received from us after placing the order.

Have you already paid the full invoice amount and still received a reminder?

Please check that you have included the correct bank details in the transfer order you received in the payment information email from Mondu. Also, check the purpose of the transfer. The purpose must match the one we sent you in the payment information email. This is the only way we can match your payment to the correct order.

If all the information is correct and the reminder is invalid, please contact us via a support-ticket and attach a payment receipt. We will be happy to help you.

If you have a valid reason to pause the dunning process – for example, because the merchant’s delivery is delayed – you can contact our customer service team to request a dunning pause via a support-ticket.

Late Fees & Additional Charges at Mondu

A late fee is a fixed charge applied when an invoice remains unpaid past its due date. It reflects the administrative effort required to follow up on overdue payments and helps ensure timely settlement of open balances.

Late fees may be added if:

  • The payment deadline stated on your invoice has passed
  • No payment has been received
  • The invoice hasn’t been cancelled or disputed within the appropriate timeframe
  • If the invoice is partially paid, a late fee may still be applied to the outstanding balance.

You’ll receive:

  • An email notification that outlines the overdue amount and the applied fee
  • An updated invoice showing the total to be paid, including the late fee
  • Notifications are always sent to the billing email address associated with your order.

In some situations, yes. Mondu may waive late fees when:

  • A technical issue on our side caused the delay
  • You can provide proof of timely payment
  • A merchant error (e.g., incorrect invoice details) created confusion

If none of the above apply, late fees are usually upheld.

A few helpful tips:

  • Pay invoices as soon as they arrive—no need to wait until the due date
  • Double‑check that your billing email is correct and can receive messages
  • Set a reminder for your invoice due date
  • If anything looks incorrect, report it immediately so we can pause collection while reviewing the issue

Create a dispute via your Buyer Portal: Creating a Dispute as a Mondu Buyer

  • Your dispute will be reviewed by the merchant.
  • The merchant has up to 21 days to respond.
  • Once the dispute is resolved, you will receive a notification with next steps by email.

Late fees themselves don’t block future purchases, but repeatedly overdue invoices may influence future credit decisions. Staying up to date helps keep your purchasing options flexible.

Check:

  • Your Mondu payment reminder emails
  • Your Buyer Portal

Both will show the original invoice amount, any applied fees, and the total current balance.
